But then we'll we'll discuss briefly what we will be learning about today, talking just a tad bit about some some benefits of the membership form product enhancements to neon CRM, why that benefits you as a client organization. And really, we'll spend the majority of the time doing the kind of walkthrough of neon. So we're going to start actually on the administrative back end with neon, and Laura is going to walk through the building process for a membership form. And then we'll shift gears a little bit and take a look at what that experience will be like from a member perspective. So I've worked with a handful of different types of organizations from the nonprofit fundraising arm, but also solely with membership organizations as well. So we're excited to have you here today. And really, the big focus today is on practical usage. So as mentioned, we'll we'll do a deep, deep dive in the back end in terms of building out the form and take a look at what that looks like for a member joining your organization or perhaps coming back for renewal. And we will be sending out a variety of resources to you at the end of this as well. Unknown Speaker 4:10 So just touching on a few things that we'll be learning about today, we will take a look at the new Form Builder. The big things to take a look at are the ease of use. So the drag and drop capabilities, the variety of built in templates that neon CRM offers as well as the capability to build and design your own templates. We will take a look at the forms and actions so actually building those membership forms building the different membership levels to be placed on the forms. And then we'll also take a look from the member perspective, how that's really personalized to each member, joining your organization or coming back for renewals. Unknown Speaker 4:53 And then just a few things to note and to just kind of keep at the front of of your mind through Unknown Speaker 5:00 Do this walkthrough today. Really, we're going to be focusing on that easy build out process, but also the modern and seamless process of the new forms themselves. So coming to a neon CRM membership join form or renewal form, how simple it is for a member to fill out their contact information, select their membership level, select payment options as well. We'll also touch on the curated member experience. So really offering the option for the member to renew or upgrade their membership with your organization. And we'll touch a tad bit on the personalization personalization aspects. So being able to enable the email authentication, or allow members to actually log in and utilize the constituent portal with neon CRM, Unknown Speaker 5:51 were released another update in terms of the QR codes. So those have been great in terms of being able to easily generate a QR code from the membership form that you can put on your print materials, any type of marketing, as well as your physical mailers that you're sending out for renewals. And then also, the option to add a donation for added revenue, if that's part of your your wheelhouse as well. And then the easy capability to be able to allow your members to share their membership with their social network, as well. Unknown Speaker 6:28 So yeah, next slide. We're really gonna kind of dive right in here. So I'm gonna let Laura take it away. Thanks, Sam. Just gonna quickly switch over to my neon CRM system. This is just my testing system here today. So there might be some random examples, but I think it's in good shape to show you the new Form Builder. Just wanted to start by mentioning also, the New Form Builder is available in your systems, as long as you have the membership module available right now. And nothing about your current forms, we've started calling them legacy forms just in our materials, nothing is going away. So you can convert over test out these new forms and start using them. When you're ready. There's no timeline where you'll be losing your current forms. Unknown Speaker 7:21 So getting in like Sam mentioned, we're gonna start with the administrative side. So we're calling it the Form Builder on the back end of the system. Unknown Speaker 7:31 From the main dashboard, when you log in, the first place to go is forms and pages forms will have the little blue dot just indicating that this is the new feature. Some of you may have been in here already, we've had new account forms, and also a version of this for donation forms since middle middle ish of last year. And then we've been working on the membership forms since then. So you may already be familiar with a few of the options that we're going through here. I'm going to cover everything just in case, you haven't had a chance to get in here yet. But just useful to know if you are also collecting donations. There's a version of this for your fundraising forms. And maybe more importantly, account forms which can be used not only to register people to be able to log into the portal, but just to collect any general information that you might need from people to one change. Also to note here is with the new membership forms, you can create as many of them as you want. Unknown Speaker 8:33 You may remember with the current forms, you get a new membership form and a renewal form. And then within that you have versions of them for individuals or companies. With the new forms, you can set up as many as you want. And it is fine to have the same membership level, showing up on multiple different forms if you want to use them for different occasions or to pair with an event or you know just have slightly different branding or information on different versions of the form. Unknown Speaker 9:02 Really quickly just wanted to mention this page here. So this again, is forms and pages forms, it's just going to be a list of all of your new forms that are created. Unknown Speaker 9:12 The Type column here with the symbol will tell you what type of form if you are using more than just the membership forms. And we also have a couple quick links through to guides. So if you would like to also have a written walkthrough or it would be useful for your team. This membership forms guide is kind of a step by step walkthrough from beginning to end for setting these up. Unknown Speaker 9:33 One other quick thing, it is possible to clean up this list of forms, you know, over time, it might get a little longer. The trick is to take I'm actually going to take one of my other forms here Unknown Speaker 9:45 once it's unpublished, so it does have to be offline first, but once it's been unpublished as you can see here, there's an option to archive it. So it's not a full Delete. It will go into the archived status and you can pull it back up later. Unknown Speaker 10:00 You'll notice that when you have a form, you'll have kind of the history of everyone who's submitted information to the form. Ups, I took one that didn't actually have any submission history, but this is where you'd be able to click into any form and get those details. We don't want to lose those completely. So that's why we have an archiving system rather than a deletion system. But that's the way to keep your list of forms clean and not have it get overwhelming or crowded over time. Unknown Speaker 10:29 Alright, so next I will jump into building new form, this will be new form at the top right. And then, like I mentioned, we have the three different options, we're just going to focus on membership for today. Unknown Speaker 10:46 Once you've selected your form type, you get this side, pull out bar, where you'll fill in the initial information for the form. All of this is adjustable later on as well. Unknown Speaker 10:59 So I'll start with just an internal name for the form. Unknown Speaker 11:04 One thing that's new with these are new form design is the ability to customize the URL for the form. Specifically, it's going to be the end of the URL, we call it the URL extension. So you'll see this, it fills in automatically with the name that I added, but you might want something more specific. I'm going to be using our demo organization Agloe Nature Center today. So I'm going to say maybe join Agloe as my extension, just wanted to mention to some of you might have an SSL certificate applied to your system. Or if you don't already, you can get in touch with us to do that. That portion of or that extra service, we have will adjust the base of the URL to something a little simpler, hide the neon CRM portion of it. So you know, it just has your organization name. So it is possible to control this as well. We just have to do a little bit of work with your your domain name service. So there's a few extra steps, but there is an option for that as well. Unknown Speaker 12:08 are getting into the initial settings for this form. The First Choice you'll hit is the form type. Unknown Speaker 12:16 You can set up the form for just individual accounts, just company accounts, or potentially both. It's really up to you if you already maybe have a landing page on your website where you're sending individuals and companies to different spots to register or you want to have completely different forms and different questions on each, it might make sense to create two. But it's not required. If you you know if everybody's fine using the same form, individual and company is a good option Unknown Speaker 12:45 based on the choice you make here and you'll see this little tooltip hopefully it's not too small. On the screen I'm sharing it just says some membership levels will only be available for certain form types. And that is because membership levels can be restricted to either individuals or companies. So once you make this choice, the list of levels will adjust. Unknown Speaker 13:06 What you'll see happen here is when you've chosen individual and company, all of your membership levels are available because they can register as either an individual or company. If you swapped to individual only, Unknown Speaker 13:20 you'll notice my small business membership goes away. With individual only, you'll only get your household group and no group memberships showing up. Same idea with company only. This will adjust to your no group memberships, which I actually happen to have the individual membership here and to your company group memberships. So just a few adjustments there. Unknown Speaker 13:46 I'm going to stick with individual and company now just to show more membership levels on the page. Unknown Speaker 13:52 The next choice then is going to be which membership levels you'd like to include. So NEON will give you your whole list of all of your active not archived membership levels. If you haven't, if you're getting set up for the first time or you're making some changes to your levels and pricing, you will want to go back into global settings and make adjustments to those basic settings first, you won't be able to do that inside the Form Builder. But if you've set up a form and then you go make changes to your pricing, it'll update automatically so no problem there. See you'll just keep checking the box they'll get added Unknown Speaker 14:36 and you can change your mind about which levels are available on the form later on. Unknown Speaker 14:42 Next, going down the page, the login option. This is really up to you. Depending on whether your your members are using the login option if you want to encourage it or require it you know how how much you want them to use the login option. If you just allow Unknown Speaker 15:00 it, Unknown Speaker 15:01 there will be a login button at the top right of the form and they can choose to log in there. You could also go a step further and have the login prompt pop up box appear when they first land on the forum. So that's what this extra toggle will do. Either it's a little more subtle, and just there if they click on it, or it's there right away. Unknown Speaker 15:21 If you require login, the login prompt will be pulled up, and they cannot exit out of it without logging in. So just requiring it for entrance into the form. And then if you aren't dealing with login at all, you can keep the forum public and that'll just hide all of the login options from the page. I'll go with allow for now. Unknown Speaker 15:43 There is the option to have an add on donation, as long as you also have the fundraising module available with your neon CRM subscription. This you can change your mind about later, but I'm going to turn it on so I can show you what that'll look like. Unknown Speaker 15:58 Payment Options, credit card will be required. But then you can decide if you have an ACH or echeck gateway attached to your system, you can turn that on on a form by form basis. If you'd like to offer the pay later or deferred payment option, you can add that as well. I don't have the PayPal button option turned on in my test system. But if you have that enabled, all you need to do is log into your PayPal account in global settings. Unknown Speaker 16:27 That would be an option here too. And then lastly, if you wanted to be able to plug in the credit card swiper that is compatible with the system. For example, if you're maybe setting up a membership enrollment station for people to enroll live and an event, you could turn on the card swiper option with this one, it's usually useful to come back in and turn it off when you're not in person for people to enroll anymore. But it just adds the ability for them to choose to use the Swiper instead of just having to key in their credit card. Unknown Speaker 17:02 Lastly, choosing a design or a theme for your form. When you first land in here, you'll see our default themes, which if you skip over these first two, these are ones that I created, it'll start with the modern and go on, you are not stuck with this, you will have full customization we just wanted to give some quick templates to get started based on your service area and your mission type. So you can absolutely use one of these. Otherwise, you might just want to pick whichever one is closest to your color scheme and ideal design, and then you'll be able to fully customize. So I'll show that in a second. I'm gonna go with this one that I customized before though, just to demonstrate that once you've created a theme in your system, you can save it and reuse it for your future forms so you won't have to build from scratch each time. Unknown Speaker 17:54 Okay, great. Unknown Speaker 17:58 Donna, I'm seeing a question relevant to the payment options. So sorry for everyone else I will answer as quickly as we get to these topics. But Donna, you mentioned Disneyana allow folks to pay directly from their bank account. The ACH e check option is the best choice for that, you will want to make sure that if you're Unknown Speaker 18:19 if you're using a different payment processor aside from Neon pay that they offer it, I know authorized.net Does. Blue pay does I don't believe I that's does though. So potentially, if you're using that, you might want to set up an additional processor for ACH. But that's the option where if you swap over, they'll just enter their bank account and routing number. Especially great if you have people setting up auto renewal for their memberships, which we'll talk more about in a second just because then their credit card won't expire and cause you to have to kind of remind them to update their information later on. Unknown Speaker 18:56 Alright, so starting in, we're now kind of inside the Form Builder, as we call it. And you'll notice these five buttons down the left hand side, these are the steps that you'll follow to configure the form. First step we'll hit is the page editor. This is for the additional content that you're adding to your page. This will be static content, meaning that as people go through the different pages of the form, you'll still have that consistent side content on the page. It's usually good for a little bit of information about levels of benefits potentially or instructions for filling out the form if you notice people are getting stuck on any particular question. Or it could just be a general call to action for you know why they should join or kind of inspiring them to complete the join process. I have a little bit of content. I'm going to copy paste in so you don't have to watch me kind of wordsmith this live. So I'll just drop this into the description box right now. Unknown Speaker 19:59 You'll notice Unknown Speaker 20:00 I've got kind of a darker background here. So the overlay setting will help with this, I'm going to put a light overlay, you can also do the opposite if you have a very light colored background, and you'd like to have a darker overlay added. Unknown Speaker 20:15 And we can also have a title see Unknown Speaker 20:21 whatever makes sense there, the form alignment will default to form on the left content on the right, but you can adjust it so that the content is above the main form or right side. Unknown Speaker 20:35 One thing I should mention there, whatever you decide if you're using left or right, when you adjust into mobile view, since so many people are now completing our forms through mobile devices, for that NEON will always place your content above the form. So it is a good idea to keep in mind that you may want this to stay relatively short, just because in mobile, no matter what your layout is, there'll be scrolling past the content into the form. Next. Unknown Speaker 21:04 There's also an option to add an image or video, this will be part of the main form content. So again, it'll stay through all of the pages they click through, you can always pick an image that's already somewhere else on the web, if you just have a URL for it, you can upload an image or pick one that's already been uploaded to neon before. A new thing we added is a quick link over to Unsplash to a royalty free images here. So I'm actually going to Unknown Speaker 21:34 find I think I have an eagle that I like, I'll try this one. Unknown Speaker 21:40 There we go. So that's a quick way to get, you know, a relevant stock photo in, you can also of course, bring in your own images. I also skipped over, there's an option to have a video here. For that, you'll just plug in the link to the video. So it does still need to be hosted on YouTube or Vimeo or another video hosting service. But then NEON will take a preview of the video and place a play button over it so people know that it's clickable and, and will be a video they can watch right within the form. Unknown Speaker 22:14 That's it for the page content. So I'll jump down to step number two, which is the Form Editor. I should mention, before I do that, that NEON will save your edits as you go. So as you know, we're kind of saving your progress in real time as you make it through the form builder. Unknown Speaker 22:33 So next is the Form Editor. This is where you control the content of each of the pages in the form. We put a lot of research into this new redesign, you'll notice a big change from having most of the information in just one or two pages on the forum to having these kinds of bite sized steps. We did find that completion rates increased when people don't have to scroll as much but can instead kind of stay in one scroll window and make it through smaller steps on the way. So that was the philosophy behind the design. You also have control to break up the form into additional pages if you have a lot of questions or a pretty extensive membership application to ask people about so I'll show you how to do that. Unknown Speaker 23:16 For starters, so the main idea here is that all the fields on the left hand side can be dragged and added to the forum pages on the right. But also on the right hand side, you can click into any of the sections to make additional changes and edits and really customize the details. Unknown Speaker 23:35 A good example is this membership levels section. I did want to talk about this for a second. Unknown Speaker 23:41 You may be thinking when we set up the form we already chose which membership levels to include on the form. So why would I need to choose them again, which makes sense. But the extra option you get here is if any of your membership levels have multiple different membership term options. The example I have is my friend of Agloe student membership has a one year term and then a separate two year term, you might decide for a particular form, you just want to include one of those terms and not all of the terms for the level. So this gives you that added control to maybe say I'm going to make a separate form for the two year membership and exclude it from this page. That's why you get the the choice the second time. The other thing you can do in here is drag and drop to rearrange the order of your membership levels to whatever makes sense for the way you'd like to arrange your form. Unknown Speaker 24:37 One last thing to mention, you'll see this option down here hide the membership price label. Unknown Speaker 24:44 With our older forms, you may remember it was useful to add the actual price to the display name for the term. So instead of friend of Agloe individually, you might have the actual price listed here. We have Unknown Speaker 25:00 removed the need for that, but automatically displaying the pricing on the forum, but we didn't want to force you to have to go in and edit all of your terms necessarily to get up and running with the new membership forms. So if you're noticing that your forum has duplicated pricing, that may be what's happening. And you'll just want to hide the membership price labels so that you're not getting it showing up twice on the same form. This can also be useful if your membership levels are free, and you'd prefer to not have a price listed on the page at all, this is a good option to not have free displaying on the page. Unknown Speaker 25:39 Couple other things to mention here. So I talked about how you can drag and drop over fields that you want to add to the page. Once you've done that, you can click into them, and you'll have a few options. Unknown Speaker 25:52 For one thing, controlling whether the field is required or optional. Unknown Speaker 25:58 There's also the ability to add a field description. So let's see, I can't think of a good one for phone offhand. But for email, you might say Unknown Speaker 26:08 we'll use this to send you updates. Unknown Speaker 26:11 That's very general, but any kind of extra informational text about how they should answer the question how you'll use the information, any other instructions or details can go here. Unknown Speaker 26:22 There's also the ability to hide fields from the page. Unknown Speaker 26:27 This is a little bit Unknown Speaker 26:29 less, less frequently used, but there are some good uses for it. In particular, I really like using this with the source field. Oops, I don't need that right now. There we go. So for example, with the source field, you might use this to actually have people choose how they got connected to the form. But you could also decide to use it for a hidden way for you to record how people are finding the form without necessarily asking people to answer the question themselves. For example, if you're running a Facebook campaign to gain new members, and you are creating this form, specifically to share through your Facebook campaign, you could put in the default source as Facebook and then hide the field from the form, it won't be an added question or adding length to your form for your actual members when they're responding to it. But then on the back end of the system, you'll have that source recorded for every response to the form. Unknown Speaker 27:30 Heading down the page, I did want to mention also you'll notice Page Three is specific to sub members. This is a little bit new with our new forms. Previously with the existing forms, the sub members always filled out the exact same form that the primary member did for group memberships. If you're using group memberships, with the new layout, you can customize the sub member form differently than the main form. So for example, I if I wanted to add one of my custom fields Unknown Speaker 28:02 will ask all of our sub members what their favorite color is, you'll notice that this question is just for the sub members and not for the primary member. So you can mix and match which questions each person needs to answer, they don't necessarily have to have the same form or the same required fields on the form. Unknown Speaker 28:25 This is appearing because we chose to add it in the settings for the form so you can always choose to remove it again later on. Unknown Speaker 28:33 First thing is customizing the wording of how you're asking for the additional donation. Unknown Speaker 28:41 So whatever you'd like to add here to customize the ask, or the call to action. Unknown Speaker 28:48 New with this new form design, you can allocate all of these extra donations coming in to a specific fundraising campaign in your system. Previously, they always just went to whichever campaign was marked as the default. And that'll be kind of the initial setup for this. But if you want to make a different choice, Unknown Speaker 29:10 that's where all of those gifts will be allocated. And then you can control the donation amounts that are offered on the page by adding extra amounts. And I'll show you in a second what this looks like on the front end of the form. Unknown Speaker 29:26 Next will be a summary page. There's not a lot to customize here, but you can click in and add description information to the sections as well. So if you find you'd like to have some extra instructions or information on the summary page, or the payment page, there are text boxes to let you do that. We have gotten a lot of feedback about folks wanting to be able to hide this and I noticed a few questions coming in so far today. So just wanted to mention we did have Unknown Speaker 30:00 Have some Unknown Speaker 30:02 automated logic in the system, I guess I would say where neon would know that if there's not a relevant coupon code at all in your system, or one that's relevant to the membership level, the person selected that we should hide the field, we neglected to add that for the new forms, we are planning to add it back in with our next development sprint. So we'll keep you updated. But you should see in our release notes next month that we have made that update. So we are going to have the ability for this to disappear when it's not relevant again. Unknown Speaker 30:37 And getting down into the payment details. Again, there's a little less to customize here, but you will see that all of the payment options you selected. So card ACH pay later, if you choose those will be listed here. And each one can have its own unique description text. So if there's something you need to tell your ACH folks in particular, there'll be a text box that will just appear when they've chosen that option. Unknown Speaker 31:05 Last thing we just added this last month. So if you've been using the other new forms prior to this, you might not have stumbled on this option just yet. There is some customization for the button that there'll be clicking to submit the form. It defaults to join now. But you can switch to a custom text option or one of our other options here. Unknown Speaker 31:39 Alright, that's it for the Form Editor step here. Next will be the theme editor. Unknown Speaker 31:47 As I mentioned, this is where I had a theme saved already earlier on. So I was able to just choose it again and reuse it. But you'll always have the ability to customize the theme for any particular form that it's working with. Unknown Speaker 32:01 I'm going to click into edit my theme just to show you some of the details. Unknown Speaker 32:08 Oh, and I should have mentioned to you might have seen the copy theme option in that drop down. That's really useful if you want to create just a slight variation on a theme that you've used before. For example, if if you're using it for a different form and don't want to have the member benefits be a link, but instead something like about us in the top, you might just want to copy duplicate a theme. And then you'll have a slight variation of it to use with your other form. Unknown Speaker 32:33 So options in here, fonts, colors, you can either have a solid background color or use a background image like I've done here, and you get the same image options. So you can just pick a royalty free stock photo or you can upload your own. Unknown Speaker 32:52 There's also a little kind of subtle option here to adjust the alignment of the photo in the background. You'll notice that the form scrolls, the background photo is a bit more static. So you can adjust based on how you align it. For example, if I aligned to the top and I'm just getting this pink sky, it's a little bit less, less exciting as the background for my form than if I aligned to the bottom. Unknown Speaker 33:17 I find this is especially helpful if you're if you've got a photo that has a person in it, you know a client you're serving something like that, you may be able to use this alignment to make sure that that face is in a really perfect spot on the forum. So that was the idea behind this. You can also mirror image this background image if you want, you know the person's face to definitely be on the right hand side of the form instead of a left something like that. Unknown Speaker 33:44 Next is controlling the header and footer. So background color and then the specific content. Unknown Speaker 33:52 In particular, for the header I wanted to mention, you can add your logo and then resize it. The logo will always link to the your organization URL that's in the organization profile in your system. So it will also lead back to your home page if someone happens to click on it. Unknown Speaker 34:10 But beyond that, you can add up to three navigation links. And those will appear in addition to the login option if you're allowing login. So people might know to click on your logo to get back to your home page. But it can be helpful to also add a clear link back to your homepage. We've kept this fairly simple, because our research showed that eliminating distractions on the form improved people's completion rates. So currently, we're allowing three navigation links to make sure that people can find their way back to your website if they decide to abandon the form process. But we haven't created kind of a full navigation menu including drop down menus because we did find that that decreases completion rates when there's a ton of options for people to navigate away. Unknown Speaker 35:01 And then the footer content is fairly straightforward, you can decide if you want to have one, two or three columns in the footer depending on how much information you have to share. And then based on that, there will be a text editing box for each one. You can include links, you can include emoji, if you'd like to. And then there is a more automated feature for including your social media links, and then placing them where you'd like them on the page and in a color that will stand out well, for each service you want to include. Click Add another type, and then click the image or the logo to choose the service you'd like to link. Unknown Speaker 35:43 That's it for the theme editor. Next quickly, I'll just mention the exit page. Unknown Speaker 35:49 This will be the default look for the exit page after they've completed a payment. There is some customization though, so you can take the Thank You message and add extra information, any of the tokens listed down here can be used. So if you wanted to say, Unknown Speaker 36:06 you know, your membership starts on, just select the term start date, and you can either type it in or copy it into the box, and that will populate with their specific membership information. Same goes for Apple Pay, if they're on an iPhone, or using Safari, they may have to pay with Apple Pay. It is kind of browser and system dependent because of it being Google and Apple. My membership details are already up at the top, there is I am not currently set up for auto renewal on this membership. But if I were there would be an added auto renew symbol so that I could see that, that that's part of my current membership. What is nice about this, though, is when you have it turned on if you're using neon to send out member renewal reminders, so the membership do or membership overdue notices, when somebody receives that notice and clicks on a link to go to the form that you've designed. NEON will recognize them based on their email address and automatically log them in. So it really smooths over their experience, they'd get that renewal reminder, click the link. And immediately beyond that logged in version of the form which will have their current membership level selected their fields filled in and really helps remove the friction of of renewing the membership. So I'd recommend if you haven't tested this feature out, give it a shot. And you can use it with your new forms as well. It will automatically log people in there too. So if someone comes in, they are already in your database, maybe they're a current member, but they choose not to log in to the forum, they just fill it out kind of as a guest. Once they've submitted the form, their information comes into the system and will be checked against existing accounts in the database. As long as they have a matching name and email address, their new information will automatically be merged into their account. So their existing account would just have any updates made with the new info, and the new membership will be added. But you will be able to come in and go into the duplicate management section under Tools. As soon as my page reloads, there we go duplicate management, and there will be a list of accounts that we think are likely matches. And you can just review that periodically. And with a couple clicks merge those two accounts together. There is some new logic about how we're handling new versus renewing members that I should mention that's related to this. But if they complete their membership, their account comes into the system, it's merged into their existing account. And then we can see that they're actually a renewing member, they had a current membership, we will update their membership to be considered a renewal. So this won't really be super obvious to your member, they won't have to interact with that decision of whether they're new or renewing. Instead, it'll all be handled behind the scenes by neon.
