So welcome to today's session, which is leveraging your organization's impact through accurate and accessible data with neon one CCM. I am your host. My name is Sam Nyland. I am product marketing manager here at Neon. I will be removing myself from camera and we'll be accessing the chat. So if you have any, any questions, I'll be happy to answer any of those. But it's my role today just to introduce our two lovely presenters and talk A little bit about the platform. So if you're just joining, this is your first session, if you'll go ahead and just mute yourself, because we don't have the capability to mute the entire crowd, just to be respectful of our of our presenters today. And then feel free to chat any questions in the chat box located to your right. We do have events, staff as well as myself to answer questions throughout the presentation. Everything is fully recorded. And then without further ado, I'd like to introduce both Laura and Margaret. They are both project managers with the neon CCM team. And I've had the privilege to walk through this presentation with them. And I'm excited to with what they have to share today. So ladies, I will hand it over to you. 5:50 Thank you so much. Welcome everybody. Sam said we're Margaret and Laura, we work at Neon one on the CCM product. During this presentation, we'll go through a quick PowerPoint. But really the bulk of our presentation is reserved to show you an example of our CCM system, what it looks like how you could pull data from that system and how you could leverage that to give data and information to your funders to your donors to grants every get your funding. So 6:27 I'm Laura, as I said, I'm a product manager here at NEON one on the CCM product specifically, before working at Neon One. I have a background in working in operations at nonprofits, which definitely included harvesting data, getting the information to funders, making sure it was accurate. So definitely a background there. And I'm located in Salt Lake City, Utah. 6:54 Thanks, Laura. I'm Margaret. I am the project manager team lead here for neon CCM. I've been here about two years. But previously to that I have experience in development and data management for nonprofits, and have definitely seen the value of having good and accurate program data at my fingertips. 7:26 So as I'm sure anyone knows who works at a nonprofit, there are so many worlds that program data could take in fundraising. They're really specific to your organization and what your funders are asking for. So this lift list is not extensive. There are so many more ways you could utilize your program data. But some of the key ones that we came up with are grant reporting, annual fundraising, annual report, statistics, survey data, showing statistical analysis over time, current event and emergency fundraising, your your reports and then encouraging repeat donors. 8:10 So what is CCM? We've been saying that a lot. CCM stands for client and case management. And it's essentially a relational database that is focused on programmatic data and organizational output. These systems focus on capturing information about when why what and how the client engages with your services and the outcome of that engagement. CCM and CRM are similar, because they both deal with communications and data tracking between an organization and its community. But specifically, CCM is focused on the client data, the case management data, and not fundraising data. 8:57 Awesome. Um, so how does this specific data from a ccm system help you obtain program data? Well, a ccm system will help you in tracking your client experiences, activities or participation in your nonprofit. And from that you're guaranteed a reliable source of data that's specific to your nonprofit organization. This is awesome because it means that all the data in your CCM system is always up to date and easily accessible. So you have the ability to track reports, whether that's daily, weekly, monthly or annual statistics and provide that to current or potential donors to get more funding for your nonprofit. 9:43 And just real quick, guys, if you're I think the slide deck is still on the title slide. So now we're going to show you our CCM system. Laura, if you want to go ahead and stop sharing, I will, if it lets me does share my screen. So what you're seeing here is the homepage of a sample of CCM system. We've created a demo system full of fake records. For an organization that uses activities and services, to connect clients in their community with organizations who are able to help them obtain what they need. This system is made up of a couple of basic parts, we can see them across the top. So this system is tracking client data. This client data Oh, gosh. 11:30 and a half years, want to go ahead and just share Laura. You're muted. Oh, the joys of a virtual conference in the internet. 11:44 Yeah, it's working on my clicker as you talk. 11:47 Yeah. And as soon as you did that, as soon as it worked, it worked on my screen, too. So awesome. But anyways, I'm still really excited to tell you about it. These are client records within the system. And if you click into one, it doesn't matter which one, you'll see a basic info about the client. This is general information both about the client and the clients relationship with the organization. And then down the left of your screen at the top left, we have different tabs, we won't go deep into them. But that's where you keep any supplemental information. So services that Bernard receives will be track their activities they participate paid in, and so on, and so forth. So if you want to add to activities, activities is another main component. If you click into an activity, this is going to be a general grouping have individual activity days or event days that the organization holds. They're able to give it a general term. So this one just called Blue support fall. But it's connected with a program. And then on the left, you can see where it says persons. That's where staff and users can enroll clients into this activity. And then under attendance, which this one doesn't have any attendance day, it looks like but under attendance, this is where you would see any attendance days, meaning the days that they had this activity, and be able to review the attendance of the clients, organizations. These are the organizations that work with the organization that this system is for, to provide services and aid to the community. And then volunteers is going to allow you to keep track of volunteers. So these aren't your clients as a different kind of record. These are your volunteers. And as you can see, they can chart volunteer hours within here and add that to your reporting. And then finally, the last major component is programs. And this is where they can enter programs, the way we set up our organization is that they have programs. And that's where the services live under. And each program is connected to an organization pillar. So when you're doing reporting, you can connect, here's all of our services that have to do with community and get data from there all of our activities that have to do with community and allow you to group your data that way. Within here on the top, you'll see where it says services. If you click on that these are the individual services that this program provides to the organization and we can see that there is a sponsoring organization and then different statistics about how How many are available, what the total value is, how many have been used, and the value of the amount of unused and how many are remaining. So those are the main functions, the main parts of this system. And that is all the individual type of data that is connected, that we will be using. For our reports, I will also say at the top we have an activity calendar. And that is just a representation of those attendance days. And when you click into them, go ahead and click on any of them, it's going to show you everyone who attended, and allow a staff member to enter a service. But yeah, and so now we're going to happen to reports and really show you some other fun things that we can do. 15:56 Awesome. So that was a great overview of our CCM system and kind of how we collect and capture all of that data and how it's connected together. And the reporting tool really helps you gain insight, manipulate the data, utilize it to track whatever you need, basically specific to your organization. One super cool thing about the reporting to our CCM system, it is available to all users. So you don't need a ccm staff member to help you build a report, you can get in there and build these all on your own, which again, just gives you more immediate control of your data in real time. All through first, this volunteer hours report. So as Margaret talked through, this system also tracks volunteers. And perhaps they need to get an insight on how many hours volunteers have committed to each month for anything else, so I'll go ahead and run this report. As you can see, it just pops out a simple list of all the volunteer hours for this organization, you could see the volunteers name, their gender, the date that they volunteered, the start time and end time of their volunteer shift. And then what program and activity it's related to. This can be really useful information, you could easily export this into Excel. So you could gather that insight that way. But a cool part of our reporting tool is it allows you to even get deeper into the data. So for example, if you wanted to see this data represented on a bar chart, you could go ahead and create a bar chart like this. This is showing you volunteer hours by program. As you could see, hot lunch definitely has the most volunteer hours there, which is cool. A cool thing about this is that you could copy it or save it directly from the system. So you could take this and put it in a board report, an annual report, whatever you need to get that funding and get that information out to your funders. Another cool thing about these reports is that they're tracking live data. So if someone was to go into the system right now and add an additional volunteer hours, this report would automatically be updated to show that information. 18:27 Thanks, Laura, that was great. I am excited to also show you a report, let's go with this year services. Let's go ahead and run that. So part of what's really useful about having this data is you can not only see, just like Laura said, up to the the moment data of services being entered, how much has been used, how much value monetary value the service has, have been used. 19:01 So you can create reports like this one called this year services. And it is like the report Laura showed you starts as a pretty regular spreadsheet, it's gonna list out the client's information, as well as some information that might be helpful for your reporting, like ethnicity age, and then it goes into information about the service, what program that service is a part of what the service actually is, how many this person received, and then what total monetary value that means that they received as part of the service. And then there's some more general data about the client. So one thing to mention about this year services and you'll see reports as we go through them called this years this month, this week's and those are properly named, you are able 21:28 of all of the services. Sorry, I got distracted that they're both 44%. And we did this completely blind on just like fake data, and it's equal that's funny. Anyways, so we can look even more specific. So when we're thinking about impact, and community needs, sometimes we like to take into consideration income levels. So if you go back up towards this view data as and then income level chart. 22:28 men who make less than $20,000, received a little bit over $14,000, with the services so far in 2022, and so on, and so forth. And just like Laura said, you can take this exactly as it is exported as a picture, throw it in a report an email, but this is always going to update, and it will always be for this year. 22:58 Yeah. Awesome. Yes, these reports are really awesome to just highlighting the impact your organization has, and getting that information over to your donors. So it could be really pivotal in getting funding. One other report that I will show you is this month services. Similar to the other reports, once you click in it, it just pops up this super awesome Excel sheet format of data that outlines everything. This is showing all the services that were provided this month. 23:42 A cool view we have created for this one is total clients helped this month. And this is just going to spit out a simple number. So this is awesome, because it's a quick representation of how many clients you've served this month. This makes it super easy. If someone comes to you and is requesting that information, you have a super quick view of it. This is dynamic again. So update as services are added this month, so you have a continuing tally of what your organization has done the impact they've provided. 24:12 One cool thing that we wanted to showcase about our CCM system is the ability to add reports or charts or tables to your dashboard, which really just means adding it to this homepage. This is great because 24:28 you could have unlimited users in your system, and they could all have a different function in your organization. So this gives all users a really quick snapshot of reliable information that they could get to see what your organization is up to. So in addition to the calendar, we could see that that report is added right here. Once you refresh your screen, this will update as you provide more services. And these reports are really just a great snapshot to show what your organization Action is doing to deliver on your mission. 25:08 Awesome. I'll show you one final report real quick. If you head back to reports. Another thing that is really helpful when you do have a robust system, and you are able to keep program data year over year is that you can create the same report and use it to compare different years. So if you want to click on last year's services, this is and that is a siren outside my house. This is this is the same report that we looked at for this year, except for instead of it being between the beginning of this year and the end of this year, it's the beginning of last year and the end of last year. So just like I mentioned before, come 2023 This report will show 2022 information. And that other report will show 2023. So same thing, the breakdown of individuals and the service they received. And then if you want to just do the ethnicity, one because we looked at the chart, we looked at the agenda one last time, but here is a version of the breakdown, where it takes all of the services received over 2021 and breaks it down into the different ethnicities and tells you the amount, the value of the service that they received over the year, and allows you to highlight see the percentage, see where most of your funds go. But with this, you could take this, put it in a report, label it 2021, head over to the this year's report, take that version of this, label it 2022. And then you have a full comparison across both years. If you have older data or as you continue to grow, you can just keep pulling that information, using the same chart or same reports as bases, and continue to have that accurate and specific and relevant information to fundraise or provide to your donors and constituents. 27:30 Awesome. It looks like we had a few questions in the chat that Sam has asked, answering awesomely. One question was about volunteers. So we have some systems that utilize volunteer tracking and some that don't. Within that there's a wide range of ways you could utilize our system to help you track that. One thing we have set up in this system specific to volunteers is the ability to track volunteer hours as you could see, you get a quick total right there. But if you head over to this clock in out section, you could easily clock in a volunteer mentioned what activity they have participated in the staff that was supporting them and their function. So you could see that pops up there. And then once they're done, they could go ahead and clock out. So there's just some cool functionality around the volunteers that we could provide that kid just further your data that you could provide to funders, show people what your organization is doing. And continue to drive your mission. 28:51 Absolutely. 28:57 I Don't see the chat questions. So are there any other ones in there or if anyone has any questions? We have some time left. If not, we can always just keep showing you things. 29:13 And reports. 29:15 Yeah, it looks like the one other question we had was would this supplement neon CRM. 29:22 So 29:23 that is definitely a question for product and staff and departments. They're figuring that all out. There is a plan to eventually get that to work. But in the meantime, we do have 29:42 client success. Team members who when a client has a CRM andCCM system, they'll have a neon one staff member to help oversee that and guide them through that process, especially as we continue 30:00 to grow that? 30:03 Yeah, that's it, I think. Yeah, I think it was Judy who had asked, because I believe Judy is a longtime neon CRM client. So I tried to clarify just the kind of main differentiators between CCM versus CRM. And I know that's very close. But CRM is more so designed for. I mean, CRM stands for constituent relationship management. So it has a bigger focus on donor management, member management, Event registrations. It does have some volunteer tracking capabilities, whereas CCM could, in a sense, yes supplement neon CRM in the sense that C CM is more tailored and more customized for tracking services and clients, or case management clients or Yes, program participants at a more granule level over time. And yes, as Margaret mentioned, we do have we don't have a direct integration built yet. But we do offer services where if your data perhaps that is living in your CRM system needs to talk or be moved over to your CCM system, we have the services to make that happen. And that's a little bit more vetted just on a case by case basis, just because every organization is you know, run a little bit differently. And their their needs are a tad different. 31:39 Absolutely. Are there any other questions or anything? 31:47 I'm not seeing any other questions in the chat. So if you want to go back to reports, Laura, we can look at some of the other ones, Laura and I were just talking about how we normally don't get to play with systems that have a lot of data in it. But we put a lot of test data in here. And so we were able to have a lot of fun with reports and actually pull interesting things and make those sorts of charts. So if you want to pull the organis organizations sponsoring, yeah, that one if you want to go ahead and run that. So this, if you might remember when I showed you the services, the services that this fictional nonprofit provides, can be sponsored by other organizations. This is a list of every service that's sponsored by an organization within the system. And that's why you see duplicates. So we see that that first one is on there twice, not because there's two separate versions of that organization in there, it's because they're sponsoring those two separate services. 33:07 Across the top, we can also see how many services were used, how many services are remaining, and then the total value of serv the service that this organization has provided. So like we mentioned before, you can export this, you can analyze this and come up with trends and ideas yourself. Or you can use our custom display Tool and go ahead and click raw data. And then do sponsoring organization by pillar chart. Well, this is it not in chart form, but it does allow you to group and see it in spreadsheet form. As you can see, it has each of those four organizational pillars. 33:53 That's just a key in the back end, the total amount, the total value of services under each of those fillers, and then the number of services use and the number of services remaining. So if you click on that one, under chart, and then we see that pie graph breakdown of how many services are sponsored by organizations go into each of these different pillars that represent what's important to this fictional nonprofit. And this allows you to see very easily if you have an organization that is sponsoring a lot of services for you, are they doing it across a whole bunch of different org or pillars? Are they doing it mostly for food and sort of what does that mean? When you are making plans and analyzing your data, if you want to go back into the view data as and then Then click on organization sponsorship totals. So like we saw in the last, or when we first pulled this report, it was listing each individual service as a row. So if someone provided or an organization provided more than one service, it would show up on more than one row. Instead of having to pull a new report or take it in to excel and organize it, we can use our reporting tool to create this. So what this does now is it grouped all of those records by the organization. So down the side, you're only going to see each organization once. And then the middle line is counting each of the services they sponsor. And that is followed by that total cost for all of those services. So for ones that are marked as to as three, two or three, that total cost is going to add up all of the total cost of the services that they sponsor. 36:06 Yeah, reports like this, when speaking in the terms of fundraising will save you a ton of time scrambling last minute to get information because perhaps you already had this report set up. So you can easily refer back to it to pull up to date and accurate information for a funder who's requesting it. Or you could quickly create the report and pull it to provide that information. And this is just like a very small snapshot of the reports we created to showcase. But there are so much information that you could gain from a ccm database, there are so many connections you can make so many relationships, you could show and really showcase those metrics to your funders to continue getting money to hopefully continue providing services for your nonprofit. 36:57 Yeah, and we were so excited to share this with you because we've seen how this data and our neon CCM systems can really help program staff and their ability to report on the awesome work that they're doing. And it's also fun sometimes with reporting like this, you can allow the data to kind of lead you to where you need. So you can sort by different things grouped by different things, make pivot tables, all within here, and you may discover, hey, we spend, we provide over 50% of our services to this specific income, or we provide most of our services to over two people over the age of 65, all of these different things. It allows your hard work and your organization's awesome output and relationships with your community to shine. And it allows that to guide the information that you're sharing and how you're celebrating all that excess success. But yeah, 38:16 that's awesome. And I think me and Margaret, both with backgrounds in working with nonprofits met nonprofits. We've been there the night before a big grant report or fundraising reports do trying to get all the information and having a tool like this at your fingertips that you could trust is reliable, you know, the information is up to date it's pulling dynamically would really, really help in those fundraising efforts. 38:44 Definitely, and we have a little bit more time for questions, if there's any. But yeah, we are just really happy that we got the chance to share what we do every day with everyone. 39:04 Awesome. Yeah, I would like to I would like to piggyback on that. I think I hosted a session today earlier on just our new generation of the website's platform. And then I Tovah's session who is our neon consulting manager, and she partnered with Claire Hanson, who is a creative director for big duck, which is a creative agency that works primarily with nonprofits. But they mentioned a lot of, like, store impact storytelling. And I think this like, pairs very well with that like, rather than continually as an organization or kind of showcasing the the impact that your donation makes or the impact that of volunteers time makes just like a blanket statement of you know, we We receive X amount of hours of volunteer work over the year with our system like this, like you can really dig into some of the reporting capabilities to be able to change that up. So it could be maybe on a quarterly basis, it can be maybe, you know, maybe you could try it out seasonally. So I think there's like a lot of creative ways that is much as sometimes people may think like, ooh, data numbers, it's boring. It's not because we can, like, have a creative spin to it. So I think that's just a I think it's really fun to talk about. So thank you guys. 40:35 Yeah, thank you. Definitely paints, like the picture of what your nonprofit is doing and what services it's providing to your community, which is super cool. And another cool thing is that all users are accessing the same information. So across your organization, everyone is getting the same data, the same numbers. It's super reliable and consistent across your organization. 41:02 Yeah, I think we can hammer that home. It's like accurate and accessible. 41:07 Yes, 41:08 yeah. When we're customizing the system, creating the new system, we really do. Essentially, what me and Laura's job, mainly is to help the clients sort of walk the line between a very simple to use system and a accurate and 41:32 just, system. That's a word. 41:35 Comprehensive. Yeah. And I feel like it's such a, I always like, feel like, oh, we can't use really, we shouldn't really use the word comprehensive, because it has like this connotation to it that comprehensive means complex, which means complicated to use, which is not really in a sense, true. And that's like, I feel like that's just kind of the neon ones, like, future state of our products is like, we want to create comprehensive systems that are complex, but they are not complicated to use from a users end I think. Yeah, yeah. I love that. Yeah. Yeah. And because our systems are personalized, and customized, were able to, if you call them volunteers, we can set up your system to say, volunteers, if you call them helpers, we can really have that match what you need, and work to make sure the system makes sense to you and your staff, right from the beginning, without having to change how you refer to things. Yeah, yeah. And I did ask in the chat, just because out of curiosity, I was just wondering, you know, who in attendance was was current, CCM clients, and then who, you know, are perhaps relatively new. So I did, yeah. Just want to if you guys can touch on just a little bit about like, yes, there is some like, I guess, quote, unquote, out of the box functionality that the CCM platform has, but like, the big thing behind that is just as you said, Margaret, like it is tailored and customized to meet your needs and how you run yourself how you run your organization. 43:24 that, and what what our offerings are, in kind of even how you initially kind of onboard with with new clients like that? Yeah. So the way our systems work is we start with a basic demo. And that is where 99% of our systems start from. And then from that point, when you sign your contract, in that contract, it's going to break your system down to deliverables. So if you remember when I was showing you this system, I was like, these are the clients, these are the activities. Depending on what you need, those will become deliverables, along with any other kind of added specific functionality that we're able to do. So right from the beginning, you tell us what we need, and that is what you pay for. 44:59 in that contract, you work with the wonderful Jon Snowden who's a part of our team to do some scoping. He's going to go through those deliverables with you and get any kind of information that will help me and Laura, build your project. And then we'll meet with you will show you the very basic version of your system, that's essentially the copy of the demo with your logo on the top. And from there, we will have iteration meetings, where we meet and review those deliverables and make sure 46:02 we want to add a calendar. You can talk to Jon again, talk to support and then purchase an upgrade. And we can add a calendar or Hey, now we're also keeping track of vendors, for activities. Can we add that in here? So it's always growing? But essentially, it just starts with this scope. Here's what you need. And then we'll work with you to get it in there. Yeah, no, that's, that's so awesome. Yeah.
